HR Software in Nigeria: 5 Signs You’ve Outgrown Excel
For many Nigerian businesses, HR starts with a spreadsheet: one sheet for staff details, another for leave, a folder of scanned CVs, and a WhatsApp group for everything else. That works when you have ten staff. At fifty or a hundred, it starts to cost you money, time and good people, and that’s when it makes sense to look at HR software in Nigeria built for how local businesses actually work.

For many Nigerian businesses, HR starts with a spreadsheet: one sheet for staff details, another for leave, a folder of scanned CVs, and a WhatsApp group for everything else. That works when you have ten staff. At fifty or a hundred, it starts to cost you money, time and good people.
Here are five signs you’ve outgrown it.
1. Nobody is sure which file is the latest.
“Staff List FINAL v3 (2).xlsx” is not a system. When several people keep their own copies, records drift apart, and decisions get made on outdated information.
2. Leave records cause arguments.
If staff have to ask HR how many leave days they have left, and HR has to dig through emails to answer, both sides lose time. Disputes follow when the numbers don’t match.
3. Appraisals are rushed once a year.
When appraisal forms are spread across email and paper, supervisors fill them in at the last minute, scores are hard to compare, and staff don’t trust the outcome.
4. Recruitment depends on one person’s inbox.
CVs arrive by email, WhatsApp and hand delivery. Shortlisting happens from memory. When that person goes on leave, hiring stops.
5. Management asks for a report and it takes a week.
Headcount by branch, staff due for confirmation, appraisal results by department: if every report means building a new spreadsheet, your HR team is doing data entry instead of HR.
What a proper HR system changes
An HR management system puts your staff records, leave, appraisals, recruitment and reports in one place, with the right access for each person. Staff see their own records. Supervisors see their teams. HR and management see the full picture, and reports can be exported to PDF, Excel or CSV when you need them.
YAD HR was built for exactly this, with Nigerian organisations in mind. It’s designed to grow with you, whether you run one office or several branches.

How to Run Staff Appraisals Your Team Will Actually Trust
Performance appraisals are supposed to reward good work, show where staff need support, and guide decisions on promotion and pay. In many organisations they do the opposite: staff see them as a formality, or worse, as unfair.
The problem is rarely the idea of appraisal. It’s usually how the process is run. Here’s how to fix it.
1. Be clear about who appraises whom
Confusion starts when it isn’t clear which supervisor is responsible for which staff member. Every employee should have a clearly assigned appraiser, set up before the cycle begins, not decided at the last minute.
2. Use the same criteria for everyone in the same role
If two accountants are judged on different standards, the results can’t be compared. Agree on the criteria for each role or department, and apply them consistently.
3. Let the scoring do the arithmetic
Manual calculation invites mistakes and suspicion. When scores, weightings and totals are calculated automatically, supervisors can focus on judgement, not maths, and staff can see how their final score was reached.
4. Keep evidence through the year
An appraisal shouldn’t depend on what a supervisor remembers from last month. Notes, targets and feedback recorded during the year make the final review fairer and easier to defend.
5. Close the loop with clear reports
Management needs to see results by department, branch and grade, and staff need to see their own results and comments. Without reports, appraisal data sits in a drawer and nothing changes.
How YAD HR helps
YAD HR’s appraisal module is built on a proven structure already used in Nigerian organisations: supervisors are allocated to staff, scoring follows consistent rules, and results come out as clear reports for management and individuals. Because the logic is built in, every appraisal cycle runs the same way, and your team can see that it’s fair.
